A flight can be changed, a hotel can be rebooked and an itinerary can be adjusted. An expired passport, missing visa or overlooked electronic travel authorization can stop a trip before it begins. For travelers preparing for departures, an early planning window is ideal. It provides time to complete passport renewal, resolve name discrepancies, secure visas and monitor changing entry rules before purchasing expensive, nonrefundable travel.

The most dangerous assumption is that a passport remains usable simply because its printed expiration date falls after the trip. Destination governments and airlines may apply additional validity, condition and blank-page requirements that effectively make a passport unusable months before it technically expires.

 

Check Every Passport Before Booking

Many countries require passports to remain valid for three or six months beyond the traveler’s intended departure. Airlines may deny boarding when a passenger does not meet the destination’s rule, even when the passport remains technically valid during the trip. The US Department of State advises travelers to verify the requirements of every destination and transit country before departure.

A passport expiring in June, for example, may not be sufficient for a March trip to a country requiring six months of validity beyond the scheduled departure date. Transit rules also matter. A traveler changing planes in another country may be subject to documentation requirements even without leaving the airport.

Blank pages can create another unexpected problem. Some destinations require two or more unused pages for entry stamps or visas. Additional pages can no longer be inserted into an existing US passport, so frequent travelers may need passport renewal well before reaching the expiration date.

 

Online Passport Renewal Is Expanding

The US and Canada have made major upgrades to their passport systems by allowing eligible adults to complete passport renewal online. These systems eliminate many paper forms, mailed checks and in-person visits, but the eligibility rules differ.

Eligible US citizens age 25 or older can renew online when their previous passport was valid for 10 years, is expiring within one year or expired less than five years ago. Applicants must be located in a US state or territory, have the undamaged passport in their possession and retain the same personal information, including their name. They must also be at least six weeks away from international travel because US online renewals are available only with routine service and cannot be expedited.

Applicants complete the process through the official US Department of State online renewal portal, pay electronically and upload a digital photograph. The State Department warns travelers to avoid unofficial renewal websites that charge unnecessary fees or place personal information at risk. The authorized portal uses a .gov address.

Canada expanded online passport renewal to all eligible adult Canadians residing in Canada in July 2026. Eligible applicants can submit the application, photograph and payment digitally rather than mailing documents or visiting a Service Canada Centre. In-person and mail services remain available.

Canadian online renewal is available when the current passport was issued while the holder was at least 16, was valid for five or 10 years, was issued within the past 15 years and will expire within six months or is already expired. The passport cannot be damaged, seized or surrendered, and the applicant must retain the same name and other identifying information. The applicant’s home and mailing addresses must be in Canada.

Unlike the US process, Canadian applicants must obtain their digital image from a commercial photographer. Online Canadian renewals follow a service standard of up to 20 business days plus mailing time. The existing passport is canceled after the application is submitted, so travelers who need it sooner must apply in person.

 

Allow Enough Time for US Passport Processing

Routine US passport processing currently takes approximately four to six weeks, excluding mailing. Shipping may add as much as two additional weeks to the complete process. Travelers who need faster service can pay an additional $60 for expedited processing, which generally takes two to three weeks before mailing time.

The expedited option applies to eligible mail and in-person applications, but not to online passport renewal. Anyone traveling within six weeks should therefore review the available application methods before submitting an online request.

A traveler beginning passport renewal in September should have sufficient time for a departure in February or after, even if the application requires correction. Waiting until January leaves far less room for rejected photographs, missing documents, postal delays, appointment shortages or unexpected demand.

 

The US 250th Anniversary Commemorative Passport

The State Department is also issuing a limited-edition commemorative passport marking the 250th anniversary of the United States. Known as the “Patriot Passport,” it is a Next Generation passport with custom commemorative artwork on the front, back and inside covers while retaining the security features of a standard US passport. The State Department plans to issue 250,000 of the special books.

Travelers cannot obtain the commemorative edition through online passport renewal, mail, a standard acceptance facility or a US embassy or consulate abroad. Applicants must schedule a designated in-person appointment, including appointments at the Washington Passport Agency or participating commemorative passport events and passport agencies. Availability is limited and regular fees and processing times generally apply.

The commemorative passport is a collector’s option rather than a faster passport service. Travelers should not delay an ordinary application solely to obtain it if doing so could jeopardize their departure.

 

Children Still Need In-Person Applications

Online passport renewal does not apply to young children. US passports issued to children younger than 16 are valid for five years and cannot be renewed. Parents must submit a new application in person each time, generally with both parents or legal guardians present or with the required consent documentation.

Families should check children’s passports independently rather than assuming they expire with the parents’ documents. Custody arrangements, an unavailable parent or missing proof of citizenship can add time to the application process.

First-time adult applicants and adults whose passports were lost, stolen, damaged, issued more than 15 years ago or issued before age 16 must generally use the in-person process rather than online passport renewal.

 

Resolve Name Changes and Damage

The name on the passport should match the name used for airline reservations, visas and electronic authorizations. Marriage, divorce or a court-ordered name change may require a different application process and supporting documents.

US online passport renewal is not available to applicants changing personal information. Depending on the circumstances, the traveler may need to submit a correction or name-change form, renew by mail or apply in person.

Physical condition matters as well. Significant water damage, torn or missing pages, unofficial markings, a damaged data page or evidence of tampering can make a passport unacceptable. Travelers should never tape pages, laminate the identification page or attempt a homemade repair. A visibly damaged passport should be replaced before nonrefundable travel is purchased.

 

Check Visas and Electronic Authorizations

A passport does not automatically provide permission to enter another country. Depending on the traveler’s nationality, destination, trip length and reason for travel, a traditional visa, electronic visa or electronic travel authorization may also be required.

Visa processing can take days, weeks or months. Some applications require interviews, photographs, financial records, invitation letters, hotel confirmations or proof of onward travel. Rules may also apply during airport transit.

Electronic authorizations are becoming increasingly common. The United Kingdom requires an Electronic Travel Authorisation from many visa-exempt visitors. Europe’s ETIAS system is expected to become relevant to many visa-exempt travelers after it becomes operational. Travelers should use official government portals and avoid third-party websites claiming to guarantee faster approval.

An authorization is commonly linked electronically to a specific passport. Renewing or replacing that passport may require the traveler to obtain a new authorization.

 

Passport Planning Timeline

First, inspect every passport, calculate remaining validity beyond the planned return date and research visa, blank-page and transit requirements. Begin passport renewal immediately when validity is questionable. Within the next 30-to-60 days, submit visa applications, attend required interviews and confirm that names on airline, cruise and hotel reservations match the passports exactly. After that, verify approvals, save confirmation numbers and review whether any electronic authorization or arrival form must be completed closer to departure. Two weeks before travel, check the entry requirements again. Border policies, authorization systems and documentation rules can change between booking and departure.

Travelers should be especially cautious about purchasing nonrefundable airfare, tours or accommodations before confirming they can satisfy every documentation requirement. A denied visa or unusable passport does not necessarily obligate an airline, cruise operator or hotel to provide a refund.

 

Protect Documents With Digital and Paper Backups

Travelers should carry paper copies of passport identification pages, visas, electronic authorization confirmations, insurance information, emergency contacts and transportation reservations. Copies should be stored separately from the originals.

Encrypted digital copies should also be saved in a secure cloud account or password-protected document vault. A trusted family member, travel manager or colleague at home should have access to another set. Backups do not replace original passports, but they can help establish identity, provide passport numbers and accelerate communication with consular officials.

A lost or stolen US passport should be reported immediately. Once reported, it is canceled and cannot be used again, even if it is later recovered.

The traveler should contact the nearest US embassy or consulate and be prepared to provide identification, proof of citizenship, a passport photograph and the travel itinerary. Officials may issue a replacement or a limited-validity emergency passport depending on the circumstances.

A local police report may also be helpful, particularly when other property was stolen. Travelers should confirm whether countries on their return route accept emergency passports before finalizing replacement flights or transit arrangements.
